1. What information we collect
- Full name and surname
- South African ID number
- Email address and phone number
- Physical address (street, city, postal code)
- Vehicle registration number, VIN/chassis number, make, model and category
- Driver's licence and licence disc information
- Uploaded documents — ID copy, proof of address, vehicle registration certificate and other supporting documents
2. Why we collect it
Information is collected solely to deliver the service you request — licence and document renewals, vehicle registration, printing, scanning, courier dispatch (FedEx and The Courier Guy), and related administration. We also use it to communicate with you about your order and, with your separate consent, to send service updates.
3. How we store it securely
- All data is transmitted over HTTPS using modern TLS encryption.
- Customer records and uploaded documents are stored in a secure, access-controlled cloud database.
- Uploaded ID, licence and proof-of-address files are kept in a private storage bucket — they are never publicly accessible and can only be retrieved by authorised administrators.
- Database access is protected by row-level security policies that block unauthorised reads and writes.
- File uploads are validated for type (PDF, JPG, PNG only) and size to reduce security risk.
4. Who has access to your information
Access is restricted to authorised PostWeb Mall of Africa administrators who need the information to complete your service. Where a service requires it, we share only the necessary details with:
- FedEx or The Courier Guy — when you book a courier shipment.
- The relevant South African government department — for licence and document renewals only.
We never sell your information and we never share it with unauthorised third parties.
5. Retention policy
Customer information and uploaded documents are kept only for as long as necessary to deliver the requested service and to comply with South African legal and tax record-keeping requirements. After that period the records are securely deleted from our systems.
6. Your rights under POPIA
- Access the personal information we hold about you.
- Request that inaccurate information be corrected.
- Request that your information be deleted, subject to any legal obligation we have to keep it.
- Object to processing or withdraw consent for marketing communications at any time.
- Lodge a complaint with the Information Regulator of South Africa.
